KFS Accounting Line Import Feature Helps You Work Efficiently

As I explained in earlier posts, global e-docs are among the most helpful features in the Kuali Financial System. Another time-saving feature of the system is mass import of accounting lines and other data. This feature is especially helpful when users have multiple lines of accounting data to enter and do not want to enter each line separately. Using this feature, they can quickly enter data into an import template and then upload it into the appropriate electronic document.

Many e-docs in the Kuali Financial System provide import templates. Each one is a spreadsheet with headers that specify required and optional columns for data relevant to the document type(s) the template supports. After a user enters data into it, he or she simply removes the headers and instructions, saves the file in .csv format, and imports the data with a couple of clicks.

The Kuali Financial System provides accounting line import templates for financial processing, labor distribution, and purchasing e-docs.  Some of the e-docs (e.g., Auxiliary Voucher, Non-Check Disbursement, Pre-Encumbrance, and Labor Distribution Journal Voucher) have their own templates.  Other e-docs (e.g., Advance Deposit, Cash Receipt, Disbursement Voucher and Service Billing) share a template. The system also offers import templates for purchasing items and for budget construction.
